How BrightSmile works

Everything the platform does and how to do it — booking a visit, running a clinic day, or reselling BrightSmile as a partner. If you can tap a tooth, you can use it.

1How BrightSmile works

One system with three sides. A clinic subscribes and immediately gets a branded booking website plus a dashboard. Patients of that clinic book on the website or in the mobile app. Affiliates bring new clinics onto the platform.

What makes it different is the tooth chart. Instead of describing your pain over the phone, you tap the exact teeth on a clinically accurate FDI-notation chart — all 32 of them. Your dentist sees which teeth, what you said, and any photo you attached before you sit down.

Everything is scoped to a clinic. A patient belongs to the clinic whose invite they used and only ever sees their own records. A clinic only ever sees its own patients.

BrightSmile is software. It does not provide medical or dental advice, and it is not a party to the care your clinic gives you. In an emergency, contact your local emergency services.

Getting started

Two ways in — and you are not locked into either. Both show the same visits.

Once you have signed in on a device the app remembers it — next time you get a login screen with your email filled in, plus a Scan a code instead link if you ever need the scanner again.

Booking a visit

Four steps in the app, three on the web. The progress bar always shows where you are.

Step 1

Which teeth hurt?

Tap every tooth that hurts — you can pick more than one. Selections appear as chips below the chart; tap a chip to remove it.

Step 2

Describe the issue

Choose a service, add your own description, and optionally attach a photo. Turn on the emergency toggle for severe pain, swelling or trauma.

Step 3

Choose your dentist

Pick from the clinic’s dentists — each card shows their specialty and patient rating.

Step 4

Pick a time

Choose a day, then a slot. Only genuinely free slots appear — taken times are never shown. Review the summary and confirm.

Emergencies. Flagging an emergency unlocks same-day slots and marks your visit red at the top of the clinic’s list, so they see it first.

If a slot is taken while you are booking, you will be asked to pick another time. Double-booking is blocked in the database itself, so it cannot happen even if two people tap the same slot in the same second.

After confirming, the app schedules your reminders and offers to add the visit to your phone’s calendar in one tap.

Managing your visits

The Visits tab lists everything, newest first. On an upcoming visit you can:

  • Reschedule — pick a new day and slot; your reminders move with it automatically.
  • Cancel — free, any time, and it clears the reminders too.
  • View your photo — tap to open it full-screen.
  • Respond to a proposed time — if the clinic needs to move you, their suggestion appears with Accept and Keep current. Nothing moves without you.

Your smile — history, mouth map and plans

The History tab has three views:

  • Mouth map — your whole dental story on one chart. Green means treated, amber means a visit is booked for that tooth. Tap any tooth for its records.
  • Timeline — every treatment in date order, with the notes your dentist recorded.
  • Plans — multi-session care with the price up front and a live progress bar.

Reminders

The app sends three things, and nothing else:

  • A confirmation the moment you book.
  • A reminder the day before your visit.
  • A 6-month recall when your check-up is due.

3For clinics

Getting your clinic live

  1. Register at /clinic/signup, or have an affiliate add you.
  2. Your booking website is generated immediately from your clinic details.
  3. Subscribe to activate it — see Billing below.
  4. Sign in at /login to open the dashboard.

The dashboard

Running the day

Every booking arrives already triaged — the exact teeth, the patient’s description and any photo. Emergencies are flagged red and sorted first. On each visit you can:

  • Complete— record what you did plus optional notes. It saves straight into the patient’s history and mouth map, and advances any matching treatment plan.
  • Propose a new time — the patient accepts or declines in their app.
  • Cancel — with the patient notified.

Treatment plans

For multi-session care, open a patient and create a plan with a title, description, price and number of sessions. The patient sees the price up front and watches the progress bar fill as sessions complete.

Three QR codes — and what each one is for

These are easy to mix up. They do very different jobs:

Never share the sign-in QR. Anyone who scans it is signed in as you. Regenerate it from the dashboard if you think it has been seen.

The clinic console on mobile

The same app becomes a clinic console when staff sign in. Go to Dashboard → Profile → Sign in on mobile, click Show, and scan it. You get today at a glance (visits, completed, in queue, emergencies), the next patient, the full schedule with complete/propose/cancel, and the patient registry with plan creation.

4For affiliates

  1. Apply from the form on the home page. We review and approve you by email.
  2. Sign in to your affiliate panel and add a clinic — its website builds instantly.
  3. Demo that live site to the practice on the spot.
  4. Take the subscription there and then; you earn recurring commission on every renewal.

You may only add and represent clinics you are authorised to act for. Commission terms are agreed separately in writing.

6Billing & subscription

Billing applies to clinics only. Patients never pay BrightSmile anything — fees for treatment are paid to your clinic under its own terms.
  • The clinic plan is billed yearly in advance and renews automatically. The exact price is shown before you pay.
  • Payments are handled by Stripe; charges appear on your statement as BRIGHTSMILE.
  • To cancel: Dashboard → Billing → Cancel subscription. No fee, no notice period. Everything stays live until the end of the period you already paid for, and you can resume any time before then.
  • Your first payment is refundable in full within 14 days.

7Who can see what

  • Patients see only their own appointments, treatments, plans and photos — enforced by row-level security in the database, not just hidden in the interface.
  • Clinics see only their own patients and bookings.
  • Photos live in a private storage bucket and are served through short-lived signed links.
  • For patient data collected through a clinic’s booking site, the clinic is the data controller and we act as its processor.
  • We do not sell your data and we do not use it for advertising.

8Troubleshooting

The scanner says my code isn’t recognised

Check you are scanning the right one. Patients need the clinic’s invite QR; dentists need the sign-in QR from Dashboard → Profile. A sign-in QR also expires — regenerate it on the dashboard and scan again.

No dentists appear when I try to book

The clinic has not created staff accounts yet. Ask them to add a dentist under Dashboard → Staff.

There are no free slots on the day I want

Every slot that day is taken. Try another day — or if it is urgent, turn on the emergency flag, which unlocks same-day slots.

I booked but got no reminders

Notifications need permission. Allow notifications for BrightSmile in your phone’s settings, then book or reschedule to re-arm them.

My clinic website is offline

This almost always means the subscription lapsed. Check Dashboard → Billing; if it shows inactive, resubscribe and the site comes straight back.

I need to move an appointment the patient booked

Use Propose a new time on the visit. The patient accepts or declines in their app — nothing moves without their agreement.
